Return & Cancellation Policy — Treks & Yatras

Effective for all trek, Yatra, and customized trip bookings made through Kashi of North. By booking with us, you agree to the terms below.

1. Advance Payment

1.1 Booking Confirmation

A booking is confirmed only once the advance payment is received. We require 50% of the total trip cost as advance at the time of booking, unless otherwise stated for a specific trek or package.

1.2 Balance Payment

The remaining balance must be paid at least 10 days before departure, or as communicated at the time of booking. Failure to clear the balance within this window may result in the booking being treated as cancelled, under the cancellation slabs in Section 4.

1.3 Cancellation Within 60 Days of Departure

If the booking is cancelled within 60 days of the departure date, 15% of the total advance payment will be deducted, and the remaining amount will be processed as per the refund/voucher terms in Section 3 and Section 4.

1.4 Non-Transferability of Advance

The advance payment is non-refundable outside the cancellation/voucher terms below and cannot be adjusted against any other booking unless a voucher is issued as per this policy.

1.5 Mode of Payment

Advance and balance payments can be made via the payment link/method shared by our team (UPI, bank transfer, or Razorpay checkout, where applicable).

2. Change or Cancellation of Booking by the Participant

2.1 Process

To cancel or modify a booking, email us at kashiofnorth@gmail.com or message us on WhatsApp at +91 72530 79221 with your name, mobile number, and reason for cancellation. Our team will confirm your applicable refund/voucher amount as per the slabs below and process it manually.

2.2 Replacing a Participant

You may replace yourself with another participant instead of cancelling, provided:

  • The booking status is “Paid,” and
  • There are at least 10 days remaining before departure.

Send the new participant’s details via email or WhatsApp. Note: any Volvo/train transport booked for the original participant cannot be transferred and will be automatically cancelled, as those seats are non-transferable.

3. Cash Refund vs. Voucher Refund

3.1 Cash Refund

Available only when:

  • The booking was made without any discount (promo code / cancellation voucher / dynamic discount), and
  • The booking status is not “Booked” (i.e., not a shifted-batch booking).

Cash refunds are processed in 7–14 working days, back to the original payment source.

3.2 Voucher Refund

Available for all bookings, including those made under promotional offers or discounts. Vouchers are valid until December 31, 2027, and are redeemable against any future Kashi of North trek or Yatra.

3.3 Basis of Calculation

Refunds are calculated on the net amount paid for the trip (base trip cost + add-ons such as transport, gear rental, etc.), and are subject to the deduction slabs in Section 4.

6. Cancellation or Changes by Kashi of North

Kashi of North reserves the right to cancel a booking or change any facility, service, or price described on our website. We plan arrangements many months in advance and may occasionally need to make minor changes; transport timings shown on our website are for guidance only and are subject to change.

Adventure activities involve variables beyond our control — weather, landslides, road closures, and other force majeure events, including (without limitation) war, riots, civil disturbances, industrial disputes, terrorist activity, natural disasters, fire, epidemics, health risks and pandemics, bans by local authorities, unforeseeable technical transport problems, and similar events.

If we are forced to change the itinerary or cancel a trek, you may choose to:

  • Accept a replacement trek of equivalent or similar standard and price, if available; or
  • Cancel your booking, receiving a full Kashi of North trek voucher (valid until December 31, 2027) covering all paid components (transport, base fee, taxes).

6.1 Force Majeure vs. Other Reasons

Where the change/cancellation is due to force majeure or any other reason beyond our control, the refund is always issued as a voucher, not cash. Where we cancel for reasons within our control (e.g., low participation), you may choose between a voucher or a cash refund.

6.2 Cancellation After Departure

If a trek is changed or cancelled after departure due to force majeure or any reason beyond our control, Kashi of North is not liable to refund any amount already paid or incurred.

6.3 Unredeemed Vouchers

Vouchers not redeemed before December 31, 2027 will lapse, and no further compensation will be provided.

7. Dropout During a Trek

If a trekker drops out mid-trek due to health, fitness, or personal reasons:

  • No refund will be issued.
  • The trekker bears all costs of returning/retreating from the trek route.
  • If a safe retreat cannot be arranged, Kashi of North reserves the right to deny the drop-out request.

8. Early Return From a Trek

If you return early — whether the trek finished ahead of schedule or due to force majeure — any extra services or additional nights of accommodation are at your own cost.

9. Emergency Evacuation

We carry first-aid support and experienced guides on all treks, but emergency evacuation may occasionally be necessary. We will arrange safe evacuation to the nearest road head and help you board transport to the nearest hospital. Any additional costs — porters, vehicles, ambulance, hospitalization, or related expenses — are borne by the participant.

10. Gear Rental Policy

11. How to Cancel or Request a Refund

Kashi of North reserves the right to change this policy without prior notice.
